About the product

After scanning documents or forms with a scanner, the result is a digital image of the document in graphic form, which must then be processed — analyzed, recognized, and data extracted. The recognized output can either be stored as an electronic archive (creating digital document repositories) or integrated into the company’s business applications (spreadsheets, databases, ERP, or ECM systems).

Document digitization is carried out using specialized software. The input is an image of a document page, and the output is either recognized data transferred into business applications or documents stored in an electronic archive format (e.g., PDF), with compression, indexing, and fast search capabilities.

Process Description for Processing and Storing Forms

Sorting

forms are sorted upon receipt to verify the presence of the respondent’s signature.

Numbering

a warehouse code stamp is applied to the forms for subsequent archive preparation.

Scanning

forms are scanned for use in the operator input software.This process optimizes data entry costs by:

eliminating the need to flip the form,
allowing the operator to work with the form digitally on a computer screen alongside the data entry interface, rather than handling the physical document.

Form Entry

operators enter form data into specially designed forms that include business logic controls and reference directories interconnected with each other.

Quality Check

data entry is verified by the head of the operator department and the project client manager.

Database Export

the database is generated and delivered to the client at any frequency (daily/weekly, etc.).

Archive Preparation

physical forms are stored by the executor: forms are batched, packed into numbered boxes, and stored in a specialized facility (dry, warm, and dark) for safekeeping.
